Job Title: HR Coordinator

Contract: Permanent (Full-time)

Salary: £33,833 (per annum) 

Location: London, hybrid

Job Purpose
We are seeking a proactive HR Coordinator to provide vital support to our HR team in delivering a comprehensive and high-quality HR service. In this role, you will manage key HR administrative processes, including payroll, employee lifecycle management, and HR system maintenance. You will also assist with international HR tasks and queries, ensuring smooth operations across the team.


Responsibilities

General Administration

  • Provide administrative support to the UK and International HR teams
  • Monitor tickets on Fresh-service by being the first point of contact for queries from managers and employees
  • Maintaining all HR records

Employee Lifecycle

  • Administer employment changes, including maternity letters and schedules
  • Process the whole leavers cycle
  • Notify managers about fixed-term contract and secondment expirations
  • Manage visa expirations, including certificates of sponsorships and drafting repayment plans

Payroll & Compliance

  • Process payroll changes and act as the first point of contact for payroll queries.
  • Manage freelancer contracts, ensuring IR35 compliance.

HR Systems & Reporting

  • Manage HRIS (Human Resources Information System) updates, ensuring data integrity.
  • Support employees in navigating HR systems.
  • Generate scheduled and ad-hoc reports.
  • Oversee holiday resets and manage annual leave queries for both UK and International hubs

Employee Relations (ER)

  • Take minutes during formal ER meetings (e.g., grievances, redundancies).

Projects & Process Improvement

  • Responsible for ad hoc HR Projects as and when required
  • Contribute to HR initiatives and process enhancements.

International HR Support

  • Assist the Head of HR Operations in managing international HR processes.
  • Maintain up-to-date records for international starters and leavers on Core HR.

 

Skills, Knowledge & Experience

  • Recent administrative experience, within HR.
  • Strong organisational skills with the ability to manage multiple tasks and deadlines.
  • Excellent communication skills, both written and verbal.
  • High attention to detail and accuracy in data handling.
  • Ability to build and maintain effective relationships with internal and external stakeholders.
  • Experience using HR and payroll systems, with the ability to learn new systems quickly.
  • Analytical mindset with experience handling data and generating reports.
  • Ability to handle confidential information with discretion and professionalism.
