Job Title: Event Coordinator 

Contract: Permanent - full time

Salary: £32,768 per annum 

Location: BMA House, London - UK (Hybrid)

Are you an experienced event coordinator looking to take on exciting new projects?
In this hybrid role, you will have responsibility for the project management, delivery, and evaluation of several in-person and online events in the BMJ portfolio. 

You will also support the events team with the successful delivery of our large international conferences. You will have the opportunity to strengthen your communication and organisational skills by working with a variety of stakeholders on exciting projects around the globe. 

 

Responsibilities
As an integral member of our team, you will play a pivotal role in the planning, execution, and seamless delivery of a diverse range of events. Responsibilities include:

  • Logistics Management: Lead the planning and execution of events, ensuring all logistical aspects are well coordinated. Develop and maintain comprehensive project plans, outlining key milestones and responsibilities to guarantee timely delivery.

  • On-Site Execution: Take charge of on-site event management, overseeing logistics delivery and staff coordination. 

  • Risk Assessment: Conduct thorough risk assessments for each event, addressing potential challenges and implementing proactive solutions.

  • Venue and Supplier Relations: Research, identify, and recommend suitable venues and suppliers for events.

  • Financial Oversight: Manage event budgets efficiently, tracking costs, and ensuring adherence to financial parameters.

  • Conference Support: Assist in the coordination of larger conferences and international events, contributing to the success of these high-profile gatherings.

  • Speaker Logistics: Handle speaker logistics, including invitations, travel arrangements, and providing clear arrival instructions.

  • Feedback Coordination: Collect and collate feedback from delegates and the events team, contributing to continuous improvement efforts. Prepare detailed post-event reports, including income and expenditure, for approval by relevant stakeholders.

Skills, Experience & Qualifications

Proven experience in the following areas:

  • Event management including working with customers, suppliers, and venues 

  • The ability to prioritise a varied workload, with excellent time management and organisational skills 

  • Strong written and verbal communication skills including the ability to communicate at all levels

  • Strong attention to detail

  • Experience using event management and online event platforms, for example, Eventsforce, CrowdComms, Zoom events.
